CCUU Financial Donations Guidelines

CCUU Financial Donations Guidelines

Ensuring Clarity and Consistency

by Mike Berry, Vice President, Board of Trustees

The CCUU Board has recently revised guidelines for handling financial donations, aiming to provide clarity and consistency in their allocation. While financial gifts are always welcome and appreciated, these guidelines are designed to maintain the fiscal health and sustainability of Countryside.

Definitions of Donations and Contributors

The gift policy defines various terms including donations, designated donations, members, friends, and guests/non-members. This framework helps in understanding the different types of contributions and contributors, ensuring that each donation is appropriately categorized and managed.

Allocation of Undesignated Donations

Undesignated donations from members, friends, or guests are allocated based on the overall needs of CCUU. The priority for use of these funds is given to unfunded items in the operating budget, followed by capital reserves, capital projects, and the Endowment Fund. This structured approach ensures that the most pressing needs of CCUU are addressed first.

Handling of Designated Donations

While all donations are, again, welcomed and appreciated, designated donations are generally discouraged to preserve the fiscal control of our Board of Trustees (BOT). However, if such donations are made, the BOT and staff will make efforts to honor the donor’s preferences, considering the best interests of CCUU. If the donor’s specific demand is not feasible, the donor may choose to reallocate or remove restrictions to their donation, or have it returned. This policy ensures that donations are used effectively and in alignment with Countryside’s priorities.

Special Considerations

Exceptions to these guidelines can be made by the BOT based on donor history or specific needs. All donations are acknowledged in writing, ensuring transparency and accountability. These guidelines reflect CCUU’s commitment to responsible financial management and the effective use of donations to support CCUU’s mission and vision. By providing clear and consistent policies, the board aims to build trust with members and other donors and ensure the long-term sustainability of Countryside.
